We are currently looking to add a Receptionist / Executive Assistant to our Ottawa, ON team.
Reporting to the Director, People and Places, the successful candidate performs, coordinates and oversees executive assistant duties including the provision of varied and complex office duties. The executive assistant enhances key executives' effectiveness by providing information management support. The Executive Assistant provides highly sensitive and timely support to the CEO and CFO. He/she exercises independent judgment, critical thinking, and has a high level of skill in organizing and problem solving. Their maturity and professionalism allows them to intuitively anticipate CEO and CFO needs.
KEY RESPONSIBILITIES:
- Screen telephone calls and visitors, and resolve inquiries using tact and sound judgment;
- Coordination of travel schedules and arrangements,
- You must be results oriented, have the demonstrated ability to effectively prioritize workflow, be very organized, extremely detailed oriented and able to prioritize tasks.
- You have the ability to perform duties with deliberate speed and accuracy without immediate and constant direction or supervision.
- You exercise good judgment, show initiative and are proactive.
- You have a high standard of ethics and handle sensitive information with tact and confidentiality.
- The successful candidate requires flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of management, executives and staff, as well as government sponsors and vendors.
- Work with leadership to prioritize projects.
- You will possess advanced computer skills i.e. Word, Excel, PowerPoint and MS Outlook along with the ability to train others on system usage
- Maintain office supplies, fax machine, printers and copiers.
- You also have strong computer and internet research skills.
- Update and follow up tasks delegated by CEO and CFO to ensure progress to deadlines
- Develop and maintain a well organized corporate filing system that permits easy reference and rapid retrieval of information to ensure consistent performance of routines
- Exercise good judgment in recognizing scope of authority and protecting confidential information.
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
KEY QUALITIFACTIONS:
- A minimum of 5 years experience in administration
- Experience with calendar management using Outlook, expense management using Excel are mandatory.
- Comfortable dealing with external clients over the telephone
- Exceptional multi-tasking skills and ability to proactively support requests from various staff and ensure follow up to completion
- Excellent organization and time management skills
