Traffic/Workflow Manager

We are currently looking to add a Traffic / Studio Manager to our Ottawa, ON team. The role of the Studio Manager is to provide a clear view of workloads across the whole company. The successful candidate will handle all aspects of Production resourcing/trafficking within a busy office environment and has worked in an agency doing a similar role.

You will be responsible for allocating work, balancing workloads and ensuring adherence to agency processes, coordinating with department leads, the Project Management Team and the Client Services team. You will also manage freelance or overflow resource. You will not be responsible for the Project Management, just ensuring the staffing levels are in place.

You will be involved in all aspects of the business from project briefs, risk assessments, setting milestones, assessing resourcing requirements through to sign-off and delivery. This will involve building trusted and respectful relationships across the company. All this while providing continuous up to date commentary and forecasts to all levels of the business.

Key Responsibilities:

  • Systematically balance plan requirements against capacity constraints.
  • Continually update the plan and communicate effectively with the teams.
  • Work alongside client managers, capturing, recording, documenting and tracking all workloads, timelines and requirements.
  • Establish strong working practices with all company teams.
  • Run daily wip's, project scheduling and quoting.
  • Working with Producers to ensure their projects are delivered on time and to budget. Providing necessary information that avoids bottlenecks or missing deadlines. This is ability to manage staffing for projects will enable the Producers to successfully run their projects.
  • Identify project risks thereby avoiding potential problems.
  • Provide clear, useable and user-friendly workload and project plans to all company teams.
  • Set up future resource forecasting plans.
  • Provide daily leadership and direction to the Digital Studio Team, assisting staff with professional growth through training and creative development.
  • Work with leadership to prioritize projects.
  • Recruit and hire necessary personnel according to staffing needs, and effectively utilize freelance and temporary employees as needed.
  • Manage relationship with third party subcontractors.
  • Develop and maintain expertise on Fuel's creative/production processes, as well as industry and competitive information.

Key Requirements:

  • Past experience in an advertising agency is an absolute necessity.
  • 5+ years web or design project management, preferably in an agency environment.
  • Likely to be in, or come from, a similar 'traffic manager' role.
  • Experience with assisting and improving internal company workflows and efficiencies.
  • Extensive work and resource planning experience.
  • Fully proficient in Word, Excel, PowerPoint, MS Project and project management applications such as BaseCamp.
  • This is a busy and demanding role that requires high levels of organization.
